Position Title: Finance Administrator
Primary Location: Victorian Greens, Melbourne CBD

Status: Fixed term, ending December 2022

Salary: Professional Staff Level 3 to Level 2 ($67,881 - $74,670) pro-rata, depending on experience and qualifications. Plus 10% superannuation

Primary hours: 0.6 to 1.0 FTE, depending on preference of selected candidate, including occasional evening/weekend work

Probation: A three-month probationary period applies

The Victorian Greens office is a vibrant, fast paced environment where we support teams all over Victoria to campaign effectively. To do this, our Finance Administrator plays a vital role in maintaining and reconciling our financial systems to ensure our local teams are readily informed of all movements, and our own financial progress is kept up to date.

You will work closely on the day-to-day transactions of the Victorian Greens, including allocating transactions, frequent income reconciliations, monthly bank and ledger reconciliations, and preparation of Activity Statements. And you will use your project management and training skills to work with our local Greens teams around Victoria to assist them with all their financial queries and to build their financial capacity. Reporting to the Operations Manager, you will work together to ensure the efficient financial management of the Victorian Greens.

As well as representing constituents, The Greens speak on behalf of those who wouldn’t otherwise get much of a say inside parliament: children, refugees, students, individuals and families living in poverty and, of course, our natural environment. The Victorian Greens support the federal, state and local election campaigns in the state of Victoria.


  1. Managing the financial transactions of the Victorian Greens, including
    • Allocating and reconciling all income and expenditure against bank statements,
    • Processing accounts payable, receivable and maintaining financial records,
    • Conducting regular income reconciliations
    • Conducting end of month reconciliation process,
    • supporting the management of regular contributions of donations and membership fees.
  2. Key contact person for local treasurers, responsible for
    • First point of contact for any financial related queries
    • Inducting newly appointed treasurers in their role
    • Being across the various financial streams and allocating them appropriately across all teams
    • Updating resources and coordinating training when required
  3. Supporting the Operations Manager with all internal and external reporting requirements,
    • Executive and campaign reporting
    • Quarterly BAS and monthly IAS lodgements
    • End of Financial Year audit and reporting process
    • Electoral Commission admin and electoral funding submissions
    • Donation return submissions
  4. Other duties, as required       


  1. Values alignment: Commitment to the Greens charter and policies.
  2. Relevant experience: and qualifications in finance administration, accounting and bookkeeping.
  3. Attention to detail: with a keen eye for numbers, you are detail orientated, you will be able to pick up errors or anomalies quickly.
  4. Comfort with information and communication technology: specifically databases, excel and financial software.  
  5. Ability to identify and initiate improvements in processes and procedures.
  6. Strong and relatable communications: including working with multiple stakeholders to achieve high quality outcomes. You will be working with volunteers, and stakeholders with all levels of financial literacy. You can have a friendly attitude in difficult conversations and an openness to build the capacity of others.


  1. Familiarity with Victorian Greens systems: Demonstrated experience in operating through Xero, CiviCRM database, eWay payment platform or equivalent systems.
  2. Regulatory knowledge: Demonstrated ability for compliance with tax legislation, accounting standards, electoral legislation and external regulations.
